The real cost of an incomplete spec

An incomplete spec doesn't just delay a quote. It taxes every hour of your estimators' week, produces unbuildable orders and factory re-runs, and quietly hands deals to whichever competitor answered first.

Most manufacturers price the delay and stop there. The delay is the smallest of the four. Here's what an incomplete spec actually charges you:

Every incomplete RFQ turns your estimator into a spec translator. The pricing takes twenty minutes; the chasing takes days. Multiply that across a week of RFQs and half your quoting capacity is gone before you've priced anything.

Here's the uncomfortable part: nothing in an incomplete spec is unknowable. Your catalog technically contains every answer — every valid combination, every constraint, every option code. It's written for people who already understand the product, which describes almost nobody who sends you an RFQ.

So your sales team becomes the translation layer. A buyer describes what they want in their vocabulary; your team converts it into catalog vocabulary, one email at a time. It works — that's the trap. It works just well enough that the cost stays invisible, spread across hundreds of “quick questions” a month.

The spec was never the buyer's job to complete. It was always your catalog's job to make completing it easy.

The fixes, honestly

Nobody publishes an authoritative industry number, and anyone quoting one is guessing. The honest move is to measure your own: sample last month's RFQs and count how many were priced without a single follow-up question.

How do unbuildable orders happen?

Quietly. An RFQ arrives incomplete, the estimator makes a reasonable assumption to keep the deal moving, the quote goes out, and the buyer signs. The assumption hardens into a work order. The factory discovers the conflict weeks later — a finish that doesn't exist in that product line, a dimension that breaks the fixing — and the order comes back as a re-run.

Can a form fix incomplete specs?

Partially, and it's the right free first step. Mandatory fields force the basics. But a form can't explain your options, can't show what a choice looks like, and can't stop a buyer from picking an invalid combination — it just makes them guess in a structured format. Forms collect answers; they don't guide decisions.

What does a complete spec look like?

Picture what your factory wishes arrived every time: every decision made — product line, dimensions, materials, finish, quantity, fixing, accessories — every combination validated against your actual build rules, a part number or configuration ID attached, and delivery expectations stated.
